Post Office - Student Guidelines

    Dormitory Mail:

    If you live in a dorm (Browning, Ellington or Cooper Hall) you will receive a dormitory mail box in that dorm to utilize. Your mail will be picked-up and sorted to your box by 2:00 P.M. Monday-Friday.

     

    • If you receive a "special handling" service, (Express or Certified) which requires your signature, please be aware that the UTM Post Office only works Saturday mornings long enough to sort mail. We will attempt to call and inform you that you have a letter/parcel which requires your signature. However, we are only open for approximately 1 hour if you want it that day. If you need a special handling package on the weekends you may want to utilize another service such as FedEx or UPS which will deliver directly to the Housing Desk Clerk in each of the respective dorms.
    • The dormitory mail clerk is under the supervision of the Housing Department, not the UTM Post Office.

     

    Some helpful hints to ensure you receive your mail in a timely fashion:


    Mailing Addresses:

    1. Mailing address should include both the dormitory and room number, i.e.:

    Samantha D. Smith

    UTM
    Martin, TN 38238

     

    The correct mailing address for University Village Phase I is:

    Samantha D. Smith

    University Village (Bldg. #, i.e. A-100)

    The correct mailing address for University Village Phase II is:

    Samantha D. Smith

    University Village (Bldg. #, i.e. A-100)

    Street addresses are required for FED-EX and UPS deliveries.

  • Browning Hall is:  315 Hannings Lane
  • Ellington Hall is:  301 Hannings Lane
  • Cooper Hall is:  206 Hurt Street
  • University Village Phase I:  201 Hannings Lane
  • University Village Phase II:  209 Hannings Lane

    The UTM Post Office in the University Center accepts packages that are mailed through the U.S. Postal Service.  Packages sent by any other carrier are signed for by  the Housing Desk Clerk in the respective dorms.

     

    2. If you go by a nickname or your middle name, you should let your dorm mail clerk know. He/she only has your name as it appears on official records at UTM. So if your name is Holly S. Jones but you go by Sam (middle name is Samantha), it is very hard to determine if you are the “Sam Jones” currently in the dorm or if it is the name of the occupant from last semester.

     

    3. If you move to another dorm room, be sure both the “old” and “new” dorm mail clerks are aware of where you are. You should also be sure to notify all your regular correspondents and don’t forget your magazine subscriptions, book clubs, banks, etc.

     

    4. Approximately six weeks before you leave (end of semester) you should notify all magazines, CD clubs, newspapers, etc. of your impending change of address so they may direct your mail to your new address without your missing any issues or important documents. Most companies now have e-mail addresses to which you can submit change of address notices or Internet access for the same purpose. Change of Address.

     

    University Village:

    If you live in University Village you will utilize the UTM Boxes in the Boling University Center for all U. S. Postal Service (USPS) mail.

    • UTM Box assignments will be made when you register. Your Box Number and Combination will be posted on the "Banner Web" under your personal menu.
    • Mail will be ready for pick up Monday-Friday by 10 A.M.
    • The UTM Post Office is open Monday-Friday, except holidays and if the campus is closed due to inclement weather or other emergency.
    • If you need a special handling package on the weekends you may want to utilize another service such as FedEx or UPS which will deliver directly the Housing Desk Clerks.

    Some helpful hints to ensure you receive your mail in a timely fashion:

     

    1. Be sure you tell all your friends and relatives your complete mailing address.

    Explanation of above address line:

     

    • First line is your name (if you go by your middle name or a nickname be sure to notify the UTM Post Office (see A.2 above for further explanation)).
    • Second line is your Apartment building and room number.
    • Third line is the street address (Lines 2 & 3 are required for mail/packages from other than U. S. Postal Service such as FedEx or UPS. If you order via catalog or internet, some companies require a street address and not a Box number).
    • Fourth line is for USPS mail.
    • Fifth line is the City, State and Zip Code (UTM has a separate zip code from the City of Martin)

    2. As long as you stay in University Village Apartments, regardless of the room assignment, you will keep the same UTM Box and combination. If you move out of University Village you will no longer have your assigned UTM Box. If you move into one of the other Dorms you will have a Box assigned in that Dorm.

     

    Zip Codes:

    University Courts, Grove Apartments, and Martin Place are not Campus mail. The zip code 38237 is used for the city of Martin. University Courts, Grove Apartments, and Martin Place are serviced by the City of Martin. The zip code 38238 is utilized for all UTM mail.

     

    Packages:

    When a student receives a U.S. Postal Service sent package, the following procedures are followed:

    1. If a package will not fit into a standard PO Box, or it requires a student's signature, it is held at the UTM Post Office and an email is sent to the student's UTM email account.

     

    2. If after 5 days the package has not been picked-up a second email is sent to the student.

     

    3. After 5 additional days a third and final email is sent informing the student that their package is being returned to sender if it is not picked-up immediately. We do not have the facilities to hold package indefinitely.

     

    Postal Services:

    The UTM Post Office is also available to purchase stamps, mail letters, and packages.  Our hours of operation are 8 A.M. - 4:45 P. M. Monday through Friday. You may contact us at (731) 881-7790 or e-mail postoff@utm.edu.
