Family and Medical Leave

FML is used to provide time off to eligible university employees in accordance with the Family and Medical Leave Act and Tennessee Parental Leave Act, for the following reasons: childbirth or adoption, foster care placement, serious health condition of the employee, serious health condition of the employee’s family member, to provide care for a family member injured while on active military duty or for qualifying exigent circumstances for military service.


Departmental responsibilities regarding FML include:

  • Record FML + accrued leave (if any) on an employee’s timesheet and in IRIS.
  • Make sure to track any sick leave hours the employee has elected to retain per PolicyHR0338 (5 days or 40 hours, whichever is less).
  • Place an employee on a leave of absence after 2 weeks (10 consecutive business days) in a no-pay status with the reason code being FML.
  • Send a departmental memo to Human Resources when the employee has exhausted the full 12 weeks (480 hours) of FML, no longer needs FML, or at the end of the 12 month period, (whichever occurs first). Note – Care for an injured service member qualifies for up to 26 weeks of FML and childbirth/adoption qualifies for up to 4 months of leave.

This approved request may run concurrently with any other ongoing approved FML requests. However all approved requests will draw from the same 12 weeks within a 12 month period, beginning with the date of the first approved request.
