Use your NetID and password to log into Cayuse at http://tennessee.cayuse424.com/. The Cayuse Research Suite homepage will appear. Click on the Cayuse SP (Sponsored Projects) link. Your Cayuse SP home page will open. Here you can begin a new proposal, view current and previous proposals and awards, and certify or approve a proposal for administrative routing.
General Information Tab
On the first page of the proposal entry, you will enter the general information for the proposal.
Sponsor: Use the search feature to find the correct sponsor. If you cannot fin the name of the sponsor, search the term “not listed” to use the “Sponsor Not Listed” option. Contact ORSP to have the sponsor name added and correct the entry.
Admin Unit: Always use the Project Director/Principal Investigator’s administrative unit.
Primary Administrative Contact: The Project Director/Principal Investigator will be the primary administrative contact. Contact ORSP if personnel need to be added to the Cayuse database.
Submission Method: Choose the appropriate method from the drop down menu. If you are unsure, select Other. ORSP will correct as needed.
Paired vs. Unpaired: Do not select any of the pairing options. ORSP will use them as needed.
Not all UTM employees are automatically included in Cayuse. If the search doesn’t locate the person you wish to add, contact ORSP at email@example.com for assistance.
Person Months: How many months per year a person will work on the project. Cayuse includes a person-months calculator to help you figure this number.
Sponsored Effort %: Enter the percent time the person will work on the project. Total effort for all people should equal 100%.
Cost Shared Effort %: If applicable, list the % effort to be cost-shared by each person.
Allocation of credit: Identify what percent of responsibility each person will have for the project. Total credit for all people should equal 100%.
Overview: The budget page defaults to Summary for the form and one (1) for the number of periods. Please use these default values. Enter the same dates in the Current Period column that are in the Entire Project column.
Cost Sharing: For UTM cost-sharing, use the Internal Cost Sharing section. Fill in appropriate details for each department/unit contributing to the cost-share. Enter the total amount for the entire project to be cost-shared by the department/unit.
For non-UTM cost-sharing, use the Third-Party Cost Sharing section to add each organization. Enter the total amount for the entire project for each organization. Use the Comment Box to provide details. If you cannot find the name of the organization providing cost-share, type “not listed” in the search box to select “Sponsor Not Listed.” Then contact the ORSP to add the organization and correct the entry.
If, after searching, you cannot find the name of the organization providing cost sharing, type “not listed” in the search box and click on the Search button. This will produce a popup containing “sponsor not listed” for you to select. (ORGC will work with Cayuse to get the sponsor name added to the database, and correct the entry.) (This is the same procedure you do on the General Information page, if the sponsor name is not listed in the database.)
F&A Rate: Only one rate is needed. Use the F&A Rate (1) box to enter the appropriate rate. When you click in the box, a popup chart will appear. Enter the UTM rate of 53% for on-campus projects or 20% for off-campus projects in the bottom F&A Rate box:
Budget Categories: Enter the total direct costs for the total project and the total F&A base for the total project period in the Current Period column (shown in red circles). Cayuse will calculate the remaining portions of the budget (as shown in blue circles).
Use the search function to enter the name of the sponsor. If you cannot find the name of the organization providing cost-share, type “not listed” in the search box to select “Sponsor Not Listed.” Then contact the ORSP to add the organization and correct the entry.
Conflict of Interest
Answer all of the listed questions regarding conflict of interest. You can also use the links on this section to ensure you have completed the annual Outside Interest Disclosure Form.
Indicate if your proposal will involve humans or animals. If yes, then you will need to complete the appropriate IRB and/or IACUC processes.
All questions must be answered. You may select “None” as an option.
Location of Sponsored Activities
On-campus locations: The database includes buildings on all UT campuses. Type M in the search box to move to the UTM section of the list.
Attach the proposal, budget, and any other necessary components of your proposal.
